Expense Management Workday Webinar – Watch the Replay and Demos

To Know: Expense Management will be an essential part of the Workday platform that supports Financial Management, Human Resources, and Payroll for the University System of New Hampshire. The Workday team held an Expense Management Information Session in July, and the video replay provided insights into upcoming changes and a view of new functionality within Workday. This replay is recommended for individuals who must submit reimbursement requests and P-Card reconciliations.  NOTE: This is an informational session. Workday training will not begin until the fall of 2024.

In Case You Missed It

Change in Zoom Licensing on Monday, August 19

To Know: As a reminder, ET&S announced in April that USNH will permanently move from Zoom to Microsoft Teams by June 30, 2025. In upcoming Tech Briefings, we will share more information on the transition timeline, support and training, and exception process.

Starting Monday, August 19, ET&S will no longer, by default, provide new USNH employees with Zoom Pro accounts. However, new employees will still receive a Zoom basic account, which has limited functionality but allows users to join and participate in Zoom meetings. ET&S will offer additional Microsoft Teams training sessions. Stay tuned.

ET&S will also switch undergraduate students from pro to basic accounts on Monday, August 19. As with employees, these basic accounts allow students to join and participate in Zoom meetings.

Update on USNH Technology Account Verification Process 
To Know: The University System of New Hampshire is committed to safeguarding your data and enhancing the security of our technology systems to protect all USNH institutions, our employees, and our students. For those rare instances when self-service options for account update or recovery are insufficient, even with Help Desk Support, we have updated the account recovery process to provide additional user protections.  

To Do: If you know your password, your MFA is working, and you continue to have access to your email for password reset or recovery purposes, you may continue to utilize Self-Service to change or reset your password and update your Multi-Factor security information, including adding a new phone number for MFA verification, by logging into https://myaccount.microsoft.com. In rare cases where Help Desk intervention is required or if you need assistance with changes to your multi-factor authentication methods, USNH has implemented a new ID verification process.  Student, Faculty, and Staffaccount changes related to authentication will require an in-person or remote video session with the local campus Helpdesk (M-F 8 a.m. - 5 p.m.); a government-issued IDwill be required for verification. If you are unable to log into https://myaccount.microsoft.com, have lost your MFA-registered device, acquired a new device for MFA, or lost access to your password recovery email, the following steps are now required for ET&S to reset or modify your account on your behalf: 

  1. Contact the Enterprise Technology Help Desk using your preferred method. 
  2. Present a government-issued ID in person or via the videoconferencing link provided by the Help Desk to receive one of the following services: 
    1. Reset of your USNH technology password by the Help Desk 
    2. Update to your USNH MFA factors by the Help Desk 
    3. Add or change to your Cell Phone on file for MFA by the Help Desk 
    4. Make a change to your USNH MFA password recovery email address by the Help Desk 

Self-service password reset and Enterprise Technology Help Desk phone support remain available 24/7.  Enterprise Technology Help Desk walk-in support and online ID verification are available Monday to Friday, 8 a.m. to 5 p.m.

Update on Namecoach 
To Know: Despite concerted efforts to engage with users, less than 8% of faculty and students across all campuses use Namecoach. This usage does not justify the cost of the service. As we continuously evaluate how best to allocate our resources, and as a reminder, we've made the difficult decision to discontinue Namecoach starting in July.  

The good news is that there is a workaround that will still allow students to add name pronunciations in Canvas.

Reminder: Kaltura Video Player Upgrade
To Know: The upgrade to Kaltura’s V7 in Canvas is complete. Kaltura’s next-generation player, V7, offers several functionalities, security improvements, and a streamlined interface. For more information on Kaltura version 7, go to https://td.usnh.edu/TDClient/60/Portal/KB/ArticleDet?ID=4963.

To Do: Content using the Kaltura Embed/Share function (i.e. media housed outside Canvas on a campus website) must be migrated manually to utilize the new player. Information on that migration process is being developed and released over the coming months. No immediate action is needed for existing content.

Reminder: USNH AI Funding Proposals Due Friday, August 30

To Know: USNH is accepting funding proposals leveraging Artificial Intelligence (AI) to enhance teaching and learning, student success and well-being, enrollment and advancement, and operational excellence. We look forward to a diverse selection of proposals that will improve operations and effectively secure our mission.Proposals will be evaluated as received, but preference for FY25 funding will be given to those received through Friday, August 30, 2024.
