KSC Tech Briefing: To Know and Do - 11/10/22

ET&S Strategic Communications

This week’s Enterprise Technology & Services (ET&S) Tech Briefing contains new information.

Email Auto-Forwarding Will Be Turned Off for KSC Faculty on Thursday, December 1

To Know: To ensure KSC follows the USNH Institutional Email Security Standard and relevant regulations and policies, ET&S will disable email auto-forwarding on Thursday, December 1, 2022, for all KSC faculty (ET&S disabled email auto-forwarding for staff on 11/1/22). Auto-forwarding may cause unintentional disclosure of protected or restricted information and poses a risk to the confidentiality of data. All KSC faculty emails auto-forwarded to an external email account such as Gmail or Yahoo! will no longer deliver to that address starting on 12/1/22. This will not impact manually forwarded emails.

To Do: No user action is required.

Bulk Email Service Survey

To Know: ET&S is currently gathering information on the use of bulk email services across USNH. Bulk email-sending services are email providers that can send mass emails to a large group of people at once. These services include platforms like Constant Contact, Mailchimp, Salesforce Marketing Cloud, and others.

To Do: If you use a bulk email-sending service for a USNH institution, please complete this survey: https://unh.az1.qualtrics.com/jfe/form/SV_3lRjz0gTuhNSbfE

Zoom Client Update

To Know: Some recent updates may have logged you out of the Zoom client, which may impact specific settings when joining a meeting, including how your display name appears and background preferences.

To Do: To make sure you are logged in to Zoom, go to your applications on your computer and locate “zoom.us” and open the app. If you are not logged in, you will see a sign-in screen.  Choose “SSO” under the “sign in with” option. If you are in a meeting, you can ensure you are logged in by selecting “zoom.us” in the upper left corner.  If you are not logged in, select “Sign in” to sign in during a meeting. Click here for instructions.

Scheduled Maintenance: NetworkNH on Sunday, November 13

To Know: On November 13, between 7:00 a.m. and 11:00 a.m., NetworkNH will replace a core internet switch on the UNH Durham Campus. While the University System of New Hampshire campuses should not experience disruptions, our NetworkNH partners may experience brief internet service disruptions between 7:00 a.m. and 8:00 a.m. From 8:00 a.m. to 11:00 a.m., the team will test and debug any issues that may arise from this work but should not disrupt service. This plan is designed to minimize lengthy disruptions.

To Do: No user action is required.

Q: Drive Folder Migration to SharePoint – Kick off!

To Know: ET&S is beginning to work with data stewards and folder owners of Q: drive folders with the goal of moving data to the cloud in Microsoft SharePoint.  Migrating data to SharePoint will make it accessible from anywhere, any device, at any time via the web, easily shareable with stakeholders and teammates across USNH, and part of the integrated USNH Microsoft 365 platform.

To Do: If you are a data steward or folder owner, ET&S will be reaching out via email with more information and to request your input regarding the data, permissions, and migration to SharePoint.

Improved Support for Multi-Function Printers

To Know: ET&S is making changes to how we provide MFP support. ET&S will now serve as the single point of contact for MFP support, no more contacting Conway directly to troubleshoot issues. To report issues with an MFP, contact the Help Desk, and ET&S will take the steps necessary to resolve any issue.

To Do: No user action is required, but the next time you have an issue with an MFP, please call the Help Desk.
