Terminating Defer Pay Employee Jobs

When terminating a Defer Pay Employee's job the Effective Date on the termination EPAF must NOT be equal to the Last Paid Date on the job. Using an effective date equal to the last paid date will result in the employee being paid incorrectly. Please review our Terminating Defer Pay Employees document for more specific information regarding this issue.

WISE [Self-Service] Electronic Personnel Action Forms

In addition to entering EPAFs directly into Banner, EPAFs may also be entered via WISE - USNH’s Web Information System for Employees found at wise.unh.edu. Users must be logged into the VPN to access the Electronic Personnel Action Forms [EPAF] link in Employee Services. PHAREDS Revised Re-opening Date:

The re-opening of PHAREDS will be delayed until Thursday, July 17, 2008 after thirteenth month is closed on Wednesday, July 16th, 2008.

On-going processing for all employees:

If new jobs are added effective dated 06.28.2008 thru 06.30.2008
…an 07.01.2008 Job Detail record AND a corresponding 07.01.2008 Job Labor Distribution record must be added.

If existing 07.01.2008 Job Detail records need to be removed for any reason (rate change, termination, move, etc.) the 07.01.2008 Job Labor Distribution record must be removed BEFORE the 07.01.2008 Job Detail record is removed. If the job is continuing in FY09 the 07.01.2008 Job Detail record and Job Labor Distribution records must be reestablished.

Critical Deadlines:

B1 Employees - 07.07.2008 - Users have until 10:45 AM to make changes to B1 jobs effective in Pay Period 2008-B1-14 [06.28.2008 - 07.11.2008]. After 10:45 AM payroll processing will begin and a last paid date of 07.11.2008 will be assigned to all B1 jobs precluding any further updates of 07.01.2008 job records.

B2 Employees - 07.14.2008 - Users have until 10:45 AM to make changes to B2 jobs effective in Pay Period 2008-B2-14 [06.28.2008 - 07.11.2008]. After 10:45 AM payroll processing will begin and a last paid date of 07.11.2008 will be assigned to all B2 jobs precluding any further updates of 07.01.2008 job records.

One-Time Payments

New Job ECLSs and PEAEMPL ECLSs have been defined for use with One-Time Payments. These ECLSs replace the use of other existing Job ECLSs such as CE – Part Time (Salary) and F7 – Faculty Adjunct Part Time for this purpose. The new valid Job and PEAEMPL ECLS combinations are:

New Summer EPAFs for UNH

Because we are experiencing problems with EPAFs that process labor distributions across fiscal years, it will not be possible to use the UNH summer work study EPAF with multiple labor lines. Effective immediately, the UHWKSM and 3HWKSM EPAFs have been marked *DO NO USE*. In their place, we have created the following EPAFs that should be used for the following purpose

Feb 25, 2008 Hire WS Summer May-June – Use this EPAF for UNH summer appointments with hire date of May thru June 30, 2008

U Hire WS Summer July-Aug – Use this EPAF for UNH summer appointments with hire date July 1 thru August 31, 2008

3 rd Party Hire WS Sumr May-June – Use this EPAF for UNH 3 rd Party summer appointments with hire date of May thru June 30, 2008

Labor Distribution EPAF’s problems

We are continuing to experience problems with EPAFs that process labor distributions across fiscal years. This situation is significant and will cause encumbrancing to be wrong if the EPAF is not initiated correctly. Please note that there is no problem with processing multiple labor distributions within the same fiscal year. Contact STHRs if you have any questions.

2LDCHG EPAF Usage Jan 22, 2008

Effective immediately, please do not use the 2LDCHG EPAF to process any transactions that cross fiscal years. We have discovered this causes an encumbrance problem. We are working with SunGard to try to understand why this is occurring. The workaround – entering two 1LDCHG EPAFs, while more work, will avoid this situation. You can still use the 2LDCHG EPAF if all of the job labor distribution records have effective dates within the same fiscal year.

Acceptable Use Policy

Each year it is our practice to send out a reminder to all Banner HR users to be especially careful with the access, review and disposition of sensitive employee information which includes, but is not limited to data about birth date, annual or hourly salary, benefits, and social security numbers. WISE!!! 2005

WISE (Web Information System for Employees) is a web based software application that allows all USNH employees to use a browser to log on from any location and obtain Employee Services and Personal information such as benefits/deductions, pay stub information, earnings history, and jobs summary data.  Employees can access WISE via this link:  http://wise.unh.edu
